Executive Assistant (Finance Industry)
An international private investor and entrepreneur with a rapidly growing real estate and investment portfolio is seeking a highly experienced Executive Assistant. This role is ideal for someone with deep knowledge of real estate, private investments, and business operations.
This is not your average EA role — you’ll become a strategic right hand to someone managing multiple ventures across real estate development, private equity, and emerging business partnerships. The ideal candidate is resourceful, systems-minded, and thrives in dynamic environments with high expectations and little hand-holding.
Remote | Independent Contractor Role | Flexible Hours (but mainly Perth working hours) | 60+ hrs/month (Potential to Grow to Full-Time)
Monthly Starting Salary: $500-600 (based on a 15-hour workweek, can be more depending on experience level)
Core Responsibilities
1. Operational & Admin Support
Inbox, calendar & task management
Organizing contracts, financial reports, and sensitive docs
Creating overviews, tracking payments, maintaining KPI dashboards
2. Real Estate & Investment Support
Preparing investment decks, permit data, and transformation reports
Communicating with vendors, tenants, and property managers
Following up on project milestones and investor updates
3. Personal & Lifestyle Support
Booking travel, appointments, and calendar planning
Organizing logistics, purchases, and gift arrangements
Occasionally assisting with personal admin or family-related tasks
4. Content & Presentation Support
Preparing social media drafts, visuals, and AI-generated content
Assisting in event coordination, webinars, or video presentations
Using tools like Tome.app, Beautiful.ai, and Synthesia
Must-Haves
10+ years as an Executive Assistant, ideally supporting C-level leaders or entrepreneurs with multiple ventures
Strong experience in the finance industry/investment firms, preferably in corporate environments
Exceptional English communication skills, both written and verbal
Tech-savvy, and can grasp and learn new tools quickly
Outstanding organizational skills and attention to detail
Able to work independently, manage priorities, and thrive in fast-paced settings
Strong sense of discretion, ownership, and “get-it-done” mentality
Nice-to-Haves
Willingness to learn Dutch over time
Background in fundraising, foundation management, or investor relations
Experience with LinkedIn content marketing
Willing to work flexible hours, weekends, or while the client travels
Interest in growing into an Operations Manager or Team Lead position
Experience organizing webinars, podcasts, or investor presentations
